“Microsoft Copilot” is not one product. It is at least four, with different prices, different data access and different rules about your customer data. Two of them cannot see your inbox, your Teams calls or your CRM at all. Most comparisons skip this, and it is the single thing most likely to make you buy the wrong licence.

Your work depends on live company data

  • Your organisation already runs on Microsoft 365 and has admin budget for a $30/user/month add-on.
  • You need permission-aware access to Outlook, Teams, SharePoint and OneDrive without copying anything in.
  • Your calls happen in Teams and you want the recap saved to Dynamics 365 or Salesforce after you review it.
Choose Claude if…

Your work is analysis, structure and writing

  • You spend real time on RFPs, security questionnaires, contracts or long discovery notes.
  • You want your ICP, methodology and messaging to persist across sessions rather than re-explaining them.
  • You are in Google Workspace, a mixed stack, or you want a tool that is not tied to one vendor's ecosystem.
Consider both if…

Two distinct jobs, and a budget that covers them

“Microsoft Copilot” is not one product

Microsoft uses the Copilot name across a consumer assistant, a free work chat tier, a paid enterprise add-on and a sales-specific agent inside it. They differ on the only thing that matters to a seller: what data the tool can actually see.

Correction to older guidance

Until October 2025, Microsoft's sales-specific Copilot was a separate purchase (commonly quoted around $50/user/month standalone). It is not any more. Microsoft's enterprise pricing page now lists the Sales, Service and Finance agents as included with the Microsoft 365 Copilot licence, and the standalone role-based SKU was retired, with existing customers moving to the M365 Copilot licence at renewal. If a comparison still quotes a separate price for “Copilot for Sales,” it is out of date.

For the rest of this page, “Copilot” means Microsoft 365 Copilot with the Sales agent enabled — the only Microsoft configuration that competes with Claude on real sales work. On the Claude side, the relevant plans are Pro for individuals, Team for small groups and Enterprise for larger deployments.

What each one actually costs

The sticker price is not the deployment cost. Copilot is an add-on, so it only exists on top of something you already pay for. Claude Enterprise is a seat fee plus metered usage, so heavy users cost more than the headline.

The honest cost comparison. A Microsoft-heavy seller is usually already paying for the base licence, so the marginal cost of Copilot is the $30. A seller without M365 cannot buy Copilot at all without buying the stack underneath it. Claude has no such prerequisite, which is why it is the cheaper entry point for individuals and small teams — and why the two are not really competing on price for enterprises that already own Microsoft 365.

On the Max tiers. Max exists to remove usage ceilings, not to add sales capability. A rep on Max 5× gets the same Projects, connectors and context window as a rep on Pro — just more of it before they hit a limit. If you are choosing a tool for a sales team, compare Copilot against Pro or Team. Max is an answer to “I keep running out,” not to “which tool should we buy.”

The part most comparisons skip

Fourteen sales workflows, compared

Fit, not quality. Where the honest answer is “it depends on your stack,” that is what it says. Language is deliberately careful: no independent benchmark has tested either tool on sales-specific tasks, so reviewer preference is labelled as preference.

Where Microsoft 365 Copilot fits best

Its advantage is not intelligence. It is proximity to data you are already allowed to see.

What it genuinely does well

  • Permission-aware context. Copilot reaches your mail, files, meetings and sites through Microsoft Graph, and surfaces only what your account can already open. It inherits your permissions and sensitivity labels rather than working around them.
  • The Teams recap to CRM loop. After a transcribed Teams call, Copilot drafts AI notes; you review and edit them; you save them to the Dynamics 365 or Salesforce record. For teams whose CRM hygiene depends on reps remembering, this is the strongest single argument for the licence.
  • Live-data workflows. Pipeline questions, proposal assembly from approved SharePoint material, and email drafts carrying the account record — all without exporting anything.
  • In-app convenience. It appears inside Outlook, Teams, Word, Excel and PowerPoint, which matters more for adoption than any capability argument.

Correcting a common claim

Copilot is often described as working with “no setup.” That is true for the individual seller only after the organisation has done the work. Before any of it functions, someone must license M365 Copilot on top of a qualifying base licence, deploy the Sales agent to Outlook and Teams, connect the CRM, enable meeting transcription and grant the right CRM privileges.

  • Permissions inherit — including the mistakes. A mis-scoped SharePoint site does not become safe because Copilot is reading it. Over-broad permissions become over-broad answers.
  • Coverage gaps. The Sales agent is not available on-premises, or in GCC, GCC High, DoD or sovereign clouds. Meeting capture is Teams-only.
  • Agent caps. Researcher and Analyst are limited to 25 combined queries per user per month.
Claude Pro, Team and Enterprise

Where Claude fits best

Claude is no longer a chat window sitting outside your business systems. That framing was accurate in 2024 and is not accurate now — though every integration below still needs setup and permission.

What it genuinely does well

  • Long documents. 200K context on paid plans and 500K on Enterprise's default model means a full RFP, a contract set or a quarter of discovery notes can be analysed in a single pass rather than chunked.
  • Structured, repeatable analysis. A Project holds your qualification methodology, ICP and objection library, so MEDDPICC work applies the same lens to every deal without re-briefing.
  • Reusable context. Projects, Memory and Skills persist across sessions; Projects can be shared across a Team or Enterprise workspace so enablement writes the framework once.
  • Ecosystem flexibility. Google Workspace, Slack, Microsoft 365 and Salesforce connectors mean it fits a mixed stack rather than assuming one vendor.

What has to be true first

  • Office add-ins are real but scoped. Excel, Word and PowerPoint add-ins became generally available in May 2026; the Outlook add-in is still in public beta. Managed tenants need an administrator to enable them.
  • The Microsoft 365 connector needs permission. It reads Outlook, Calendar, Word, Excel, Teams transcripts, SharePoint and OneDrive. Write capability requires separate admin enablement.
  • Salesforce is a configuration, not a checkbox. Access runs through a Salesforce-hosted MCP server added as a custom connector, which means activating a server in Salesforce Setup and creating an External Client App. It then operates under the signed-in user's own object, field and sharing permissions.
  • No event triggers. Scheduled tasks run on a clock. Nothing fires when a new email lands or a CRM field changes.
A claim we are not making

You will read that Claude simply produces better sales output. No rigorous, independent evaluation has tested either product on sales-specific tasks such as RFP analysis, discovery synthesis or meeting summarisation. Reviewer and practitioner preference favours Claude for prose and structured reasoning; that is preference, and it is labelled as preference throughout this page.

The practical risk is not the vendor. It is the account.

The single most common data-handling mistake in a sales team is a rep pasting a customer transcript, a contract or a CRM export into a personal consumer account — on either platform — because the approved tool was inconvenient. Consumer tiers on both sides have materially weaker protections than the business tiers described above. If you handle customer, prospect, contract or CRM data, use the account your organisation approved, and confirm your specific obligations with your security and legal teams. Both tools produce fluent, confident, occasionally wrong output. Fluency is not accuracy, and neither product knows the difference. These are the eight places where an unchecked output costs you something real.

Trust is a real adoption variable, not just a technical one

In a survey of more than 150,000 US enterprise users fielded in January 2026, Recon Analytics found that 44.2% of users who had stopped using Copilot cited distrust of its answers as their main reason — ahead of Gemini at 42.8% and ChatGPT at 40.6%. Read that as a signal about all three, not an argument against one: distrust was the leading churn reason across every assistant measured. Do I need a Microsoft 365 subscription to use Copilot for sales?

Is “Copilot for Sales” still a separate purchase?

None of it is automatic — each requires administrator enablement.

Which one updates the CRM after a call?

Microsoft 365 Copilot, through the Sales agent. After a transcribed Teams meeting it drafts AI notes in the recap; you review and edit them, then save them to the Dynamics 365 or Salesforce record — by default into the appointment or event description field unless an admin maps it elsewhere. Claude can write to Salesforce through its connector, but has no native meeting capture.

Which is better for RFPs and long documents?

Claude, on documented capability rather than opinion: 200K context on paid plans and 500K on Enterprise's default model handles a full RFP in one pass. That said, every extracted requirement still needs checking against the source before it reaches a response.

Which is better for MEDDPICC work?

Claude, because of persistence rather than raw capability. A Project holds the methodology and your ICP, so the same lens is applied to every deal without re-briefing. Copilot can do MEDDPICC analysis, but the framework has to be supplied each time.

Is company data used to train either model?

Not on the business tiers. Microsoft states that tenant prompts, responses and Graph-grounded data are not used to train foundation models. Anthropic does not train on your content by default on Team, Enterprise, API and Claude for Work. The consumer tiers are different on both sides — Claude's Free, Pro and Max are opt-out, with retention up to five years if training is left enabled.

Which is less expensive?

Claude, at entry level: free to start, then $17–20/month for Pro against $30/user/month for Copilot on top of a base licence. For an enterprise already paying for Microsoft 365, the marginal cost is closer than the headline suggests. Claude's Max tiers at $100 and $200 per month buy usage headroom rather than extra sales capability, so they are not the right comparison point against Copilot. Claude Enterprise bills seats plus metered usage, so heavy use costs more than the $20 seat implies.

Can a team justify running both?

Sometimes — not by default. It makes sense when reps genuinely do both kinds of work, when the budget carries roughly $50/seat/month, and when you have admin approval to configure connectors on both sides. If most of your work sits clearly on one side of the capture-versus-analysis line, one tool is the better decision.
